Have Your Employees Become AI “Middleware”?

AI was supposed to remove repetitive work.


In some businesses, though, something different is happening.


People are spending large parts of their day moving information between systems so the AI can function properly.


Copying notes from one platform into another, checking whether data matches in different apps, rewriting prompts to give an AI tool more context, and manually correcting outputs that almost worked, but not quite.


Sound familiar?


There’s a name for this: human middleware.


Employees end up acting like the glue holding disconnected systems together.


What Is AI Middleware?


In technology, middleware is software that helps different systems communicate with each other. It moves information between applications so they can work together without someone having to manually transfer everything.


The problem is that not every business has that kind of connection in place.


Instead, employees become the middleware.


Someone downloads information from one system because another can’t access it directly. A team member pastes customer details into an AI tool to generate a response, then copies the finished result somewhere else.


Data gets checked manually because nobody fully trusts what the systems are producing automatically.


Once you notice it, you’ll start seeing it everywhere.


And it eats away at time.


When AI Creates More Work


The strange thing is that businesses can still feel more productive overall while this is happening.


AI genuinely does help people move faster in many situations. Emails get drafted quicker, reports take less time, and information becomes easier to summarize.


But new layers of admin appear around it.

Look at the Workflow, Not Just the Tools

The answer isn’t necessarily to buy another AI platform.


Instead, focus on how information actually moves through your business.


Where does your data live? Which systems need access to it? How are employees moving information from one application to another? Where are people manually checking, correcting, copying, or re-entering information?


Those questions can reveal problems that aren’t obvious when you look at each individual piece of software.


If your CRM, accounting platform, help desk, communication tools, and AI applications all work independently, you may have created a collection of useful tools that still require humans to keep everything moving.


That’s not really automation.


Don’t Make Employees the Integration


AI should reduce workload, not simply move it somewhere else.


If an employee has to copy information into an AI tool, review the result, move it into another system, check the formatting, and then notify someone that the process is complete, you haven’t eliminated much work.


You’ve just changed what the work looks like.


Proper AI middleware and system integrations can help automate those handoffs. More importantly, they can create a more consistent flow of information while reducing the number of manual steps employees have to manage.


There’s also a security consideration here.


Every time employees copy customer, financial, or internal business information between systems, there’s another opportunity for sensitive data to end up somewhere it shouldn’t. A properly designed technology strategy should consider not only efficiency, but also who has access to information and how that information moves.


Make Technology Work Together


Ultimately, your team shouldn’t be spending their day helping software talk to other software.


They should be spending their time solving problems, helping customers, making decisions, and doing the work that creates value.


If your employees are constantly switching between apps, correcting AI outputs, or manually stitching workflows together, that’s a sign the technology strategy needs tightening up a little.


The goal of AI middleware isn’t simply to connect more tools. It’s to create a technology environment where the tools you already use can work together more effectively.
